Privacy Policy

• We collect what you type into the appointment form so our front desk can call you back.
• We measure which pages and ads lead to appointment requests. That measurement is on by default and you can turn it off at any time using Cookie preferences in the footer of any page.
• We do not sell your information, and we do not use it to advertise anyone else's business.
• Your dental chart is separate from this website and is governed by Ontario health privacy law.

When you fill in the appointment form, we receive the fields you complete. That is your name, email address, phone number, whether you are a new or existing patient, your preferred time and date, the reason for your visit, and anything you add in the notes box.

Please keep the notes box general. It is helpful to tell us that a tooth has been aching for a week. It is not the place for a detailed medical history, which we will take properly and confidentially at your visit.

If you email or call us instead, we keep that correspondence for the same reason: so someone here can follow up and so we have a record of what was agreed.

Like most websites, ours records some technical information about your visit so we can tell whether it is working and where our new patients are coming from. That includes:

• The pages you visit, the order you visit them in, and how long you spend on each one.
• How far down a page you read, and clicks on the call and booking buttons.
• The website or search that sent you here, and any advertising click identifiers in the link you arrived on, such as Google Ads and Meta click identifiers and utm tags.
• Your device type, browser, screen size, approximate region based on your IP address, and your language.

We use this in aggregate, to understand how the site is performing. We do not try to work out who you are from it, and it is not added to your dental chart.

We store a small amount of information in your browser. Some of it is needed for the site to function. The rest supports the measurement described above:

• Attribution cookies, written when you arrive from an ad or a campaign link, so that a resulting appointment request can be credited to the right source.
• A randomly generated session identifier, so several page views by the same visitor are not counted as several different people.
• Your cookie choice, so that if you opt out we remember it on this device.
• Google's advertising and measurement cookies, set by the Google tag, so we can see which campaigns and keywords produce real appointment requests.

Measurement is on by default, and you can switch it off. Open Cookie preferences at the bottom of any page and choose to opt out. We remember an opt out on that device for 90 days, and you can opt back in from the same place. Opting out does not affect your ability to book, call, or receive care, and it does not change how we handle the appointment form itself.

You can also clear or block cookies in your browser settings, and most browsers offer a do not track setting. Blocking cookies outright may stop parts of the site from behaving as intended.

• To respond to your appointment request and confirm a time by phone or email.
• To send you a confirmation of a request you submitted.
• To keep records of our correspondence with you.
• To understand how this website performs and to measure whether our advertising is worth continuing.
• To keep the site secure and to prevent spam and abuse.
• To meet our professional and legal obligations.

We do not sell your information. We do not rent or trade it. We do not use it to advertise products or services other than our own dental care.

We use a small number of service providers to run this website, and they only receive what they need to do their job:

• Our website host, which serves these pages and processes the appointment form.
• Our email delivery provider, which sends your confirmation and the notification to our front desk.
• Our marketing and analytics provider, which stores appointment requests and website measurement on our behalf.
• Google, for advertising measurement, for the map images on this site, and for our opening hours and reviews, which are read from our Google Business Profile.

These providers may process or store information outside Canada, including in the United States, where it can be subject to the laws of that country. We otherwise disclose information only where the law requires it, or to protect our rights or someone's safety.

This policy covers the website. Your clinical record, meaning your chart, X-rays, treatment notes, and billing history, is personal health information and is handled under Ontario's Personal Health Information Protection Act. It is kept in our practice management system, not on this website, and it is not used for advertising or website measurement of any kind.

To see, correct, or receive a copy of your dental record, or to have it transferred to another dentist, call the office and we will walk you through it.

Appointment requests and correspondence are kept for as long as we need them to serve you and to meet our record keeping obligations, then deleted. Website measurement is kept in aggregate for ongoing reporting. Clinical records are kept for the period required of Ontario dentists, which is longer than either of the above.

This site is served over an encrypted connection, the form is transmitted encrypted, and access to appointment requests is limited to the people at the practice who need it. No website can promise perfect security, but if something goes wrong that affects you, we will tell you and take it seriously.

• Opt out of advertising measurement using Cookie preferences in the footer.
• Ask us what information we hold about you, and ask us to correct it.
• Ask us to delete an appointment request or an email exchange, where we are not required to keep it.
• Withdraw your consent to being contacted about a request you submitted. That may mean we cannot arrange the appointment.

Email admin@dentistsharma.com or call 905-760-8181 and we will help. If we cannot resolve something, you can contact the Office of the Privacy Commissioner of Canada, or Ontario's Information and Privacy Commissioner for matters concerning your health record.

We treat children as patients and we welcome families. This website is written for the adult booking the appointment, and we do not knowingly collect information from a child through it. If you believe a child has submitted the form, contact us and we will remove it.

Some pages link out, for example to our Google Business Profile or to Google Maps. Once you follow a link, you are on someone else's website and their privacy policy applies, not this one.

If we change how we handle information, we will update this page and change the date at the top. Material changes will be obvious rather than quiet.
